Consent
We will obtain your consent before collecting, using, or disclosing your personal information, except where the law allows or requires otherwise.
Consent may be:
Express – given in writing (e.g., signed forms) or verbally (e.g., during a conversation)
Implied – when you voluntarily provide information for a clear purpose, such as sending us a message through our contact form, booking an appointment online, or engaging in counselling services.
By using our website, completing an intake form, booking a session, or otherwise engaging in our services, you are providing implied consent for us to collect, use, and store your information as described in this Privacy Policy.
You may withdraw your consent at any time, subject to legal or contractual obligations. We will explain the implications of withdrawing consent, as it may affect our ability to provide services.
Third-Party Service Providers
We partner with trusted third-party service providers who help us deliver counselling and administrative services. They only receive the information needed to perform their role and must protect it through strict privacy and security measures.
Our providers include:
Jane App (Booking, Records, Video & Payment Processing) – Used for scheduling, intake forms, charting, billing, and some video sessions. Jane App keeps information secure with encryption, secure servers, and controlled access. Payments are processed through Stripe within Jane App, which means your credit card details are encrypted and stored securely—we never see or store your full card number. Data may be stored in Canada and/or the United States.
Doxy.me (Telehealth Platform) – Used for some online counselling sessions. Doxy.me is a PIPEDA-compliant, encrypted platform designed for healthcare use and does not store session data after the call ends.
Zoom Workplace (Meetings, Phone & Productivity Tools) – Used for online sessions, phone calls, and productivity tools. Zoom protects information with strong safeguards, including encryption during calls, meeting access controls, and secure servers. Zoom offers features that support compliance with Canadian privacy laws such as PIPEDA.
Google Workspace (Email & Document Tools) – Used for secure email and document management. Google protects information using strong safeguards, including encryption while it’s stored (“at rest”) and while it’s being sent (“in transit”), secure and redundant data centres, and tools to control who can access information. These measures meet or exceed the requirements of Canadian privacy laws such as PIPEDA. We configure Google Workspace to ensure your personal and health information is handled as securely as possible.
Some of these providers may store or process data outside of Canada, meaning your information could be subject to the laws of those jurisdictions. We carefully choose providers that meet high standards of privacy and security.
How We Use and Share Your Information
Your personal information will only be used for the purposes stated above and will not be shared without your consent, except:
When required by law (e.g., subpoena, court order)
If there is an imminent risk of harm to yourself or others
For professional supervision or consultation (with identifying details removed where possible)
With trusted third-party service providers listed above
Safeguarding Your Information
We protect your information using physical, administrative, and technological measures, including:
Encrypted video sessions and secure messaging
Password-protected devices and files
Secure, encrypted servers for electronic records
Access and Correction
You have the right to request access to your personal information and to request corrections if it is inaccurate or incomplete. We will respond to such requests within the timeframes set out by law.
Information Stored Outside Canada
Some third-party service providers we use may store or process data outside Canada. This means your information could be subject to foreign laws. We take steps to work with providers who meet strict privacy and security standards.
